Privacy Policy
Track Over Everything ("TOE," "we," "us") respects the privacy of everyone who visits this website or creates an account on the TOE platform. This policy explains what information we collect, how we use it, and the choices you have.
Account information
If you create a TOE account, we collect your name, email address, and a securely hashed password (we never store your password in plain text). Depending on the account type you choose, we may also collect a phone number, mailing address, date of birth, the organization(s) you belong to, and your role within them.
Athlete profile information
If you or your household creates an athlete profile, we collect the athlete's name, date of birth, and — optionally — a nickname, short bio, contact phone number, mailing address, height/weight, primary and secondary events, graduation year, and (for a minor athlete) a parent/guardian's name, email, phone number, and relationship to the athlete. A minor athlete's street address, full date of birth, and guardian contact details are never shown to anyone outside their own household, regardless of any other visibility setting — see "Sensitive fields are never public" below.
Performance and meet data
Where an athlete or their guardian searches for and confirms prior results, or a coach or meet organization imports results from an approved timing/meet-management provider, we store those results (event, mark, placement, meet name/date, and similar) against the athlete's profile. This data always carries a label identifying its source and whether it is official, unofficial, or self-reported — see Integration Disclaimer.
Communications and organization data
If you join or manage an organization on TOE, we store the messages, announcements, calendar events, and membership records associated with that organization, scoped to the people who can see them under our permission system (for example, a team-only announcement is never visible outside that team).
Payment information
TOE does not process card payments directly on this platform today — no card number is ever collected, transmitted, or stored by TOE. Subscription and billing records (amount, status, and a payment reference) may be stored once a real payment provider is connected; until then, any "payment" recorded on the platform is an explicitly labeled manual/demo action, never a real charge. Contact-form submissions
If you use the contact form on our homepage, we collect your first name, last name, email address, role, organization name if provided, and your message, along with the page you submitted it from and a timestamp.
How we use this information
We use account and profile information to operate the platform: to authenticate you, to show you the organizations, athletes, and communications you're authorized to see, to send you account-related email (verification, password reset, security notices), and to respond to support requests. We use contact-form submissions to respond to your inquiry or discuss a potential partnership. We do not sell your information.
Sensitive fields are never public
An athlete's street address, full date of birth, and — for a minor — their guardian's contact information are never shown to any other user, team, league, or the public, regardless of the athlete's chosen visibility setting. Only city/state (never a street address) and, where the athlete has chosen to share it, a birth year (never a full date of birth) may ever be shown outside the athlete's own household.
Data retention
Account and profile data is retained for as long as the account is active. You (or a household guardian, for a minor athlete) may request deletion or export of your data at any time by emailing support@trackovereverything.com; we will confirm what will be removed and any records we are required to retain (for example, financial records) before completing a deletion request. Contact-form submissions are retained only as long as needed to respond to your inquiry.
Your rights
You may request access to, correction of, or deletion of your personal information, or the personal information of an athlete in your household, at any time by emailing support@trackovereverything.com.
